This wasn\u2019t always visible in the case view, leading to uncertainty about who could access what.<\/p><p>Now, access is clearly defined through automation rules, making assignments transparent and auditable.<br \/><br \/><\/p><h3>How it works:<\/h3><p>You can now configure automatic assignment rules under <strong><em>Settings \u2192 Automation rules<\/em><\/strong>. Here\u2019s how it works:<\/p><ol><li><strong>Choose a report element<\/strong><br \/>Select the element that will trigger the rule, for example, <em>Country<\/em> or <em>Business Unit<\/em>.<\/li><li><strong>Define conditions<\/strong><br \/>Each rule must include at least one condition that a case must meet for it to be assigned.<\/li><li><strong>Select assigned users<\/strong><br \/>Choose which users should be assigned to the case when the conditions are met.<\/li><li><strong>Set rule priority<\/strong><br \/>Arrange rules in the preferred order using arrows to set their priority. The first matching rule will be applied.<\/li><li><strong>Unmatched cases<\/strong><br \/>If no rule matches, the case will remain unassigned and an automatic email notification will be sent to all <em>Owners<\/em>.<\/li><\/ol><p><br \/>By default, we\u2019ve added two automation rules that assign both <em>Owners<\/em> and <em>Administrators<\/em> to new cases. This ensures the same access as before, but now fully visible in the case view.<\/p><p><span data-ccp-props=\"{}\"><br \/><img fetchpriority=\"high\" decoding=\"async\" class=\"alignnone size-full wp-image-102366\" src=\"https:\/\/www.whistlelink.com\/wp-content\/uploads\/2026\/01\/Automation-rules.png\" alt=\"Whistlelink automation rules.\" width=\"1291\" height=\"544\" srcset=\"https:\/\/www.whistlelink.com\/wp-content\/uploads\/2026\/01\/Automation-rules.png 1291w, https:\/\/www.whistlelink.com\/wp-content\/uploads\/2026\/01\/Automation-rules-300x126.png 300w, https:\/\/www.whistlelink.com\/wp-content\/uploads\/2026\/01\/Automation-rules-768x324.png 768w\" sizes=\"(max-width: 1291px) 100vw, 1291px\" \/><br \/><\/span><\/p><h3>What you need to do:<\/h3><p>To support this update, the default case access for <em>Administrators<\/em> has been restricted as of 22 December:<\/p><ul><li><strong>For cases received before 22 December<\/strong><br \/>If <em>Administrators<\/em> still need access, an <em>Owner<\/em> must manually assign them.<\/li><li><strong>For cases received after 22 December<\/strong><br \/>No action is needed to retain current behaviour \u2014 the default automation rules will apply automatically.<br \/><br \/><\/li><\/ul><h3>Customise assignment rules to fit your workflow:<\/h3><p>You can create your own rules to reflect your organisation\u2019s internal structure and reporting logic.
